ParrotIt

Terms of Service

The agreement between ParrotIt and the organisations that use it to collect information.

Last updated: 22 October 2026

Who we are and what these terms cover

ParrotIt is operated by Wo King, a sole trader based at Chy an Gover, Lamorna, Cornwall TR19 6XQ ("ParrotIt", "we", "us"). You can reach us at wo@parrotit.app.

These terms form the agreement between us and your organisation when you create a ParrotIt account and use the service to build forms and collect responses. In these terms, "you" means the organisation on whose behalf the account is created.

They do not apply to people who fill in your forms. Those people do not have a ParrotIt account and have no contract with us — how we handle their information is set out in the Responder Privacy Policy.

These terms are written for use by organisations, including sole traders and unincorporated groups. If you are using ParrotIt entirely outside any business, trade or profession, nothing here removes the statutory rights you have as a consumer.

Your account

Anyone can create a ParrotIt account on behalf of their organisation. Some accounts are opened through an invitation we issue, and we may decline or withdraw an invitation.

You are responsible for what happens under your account, including anything done by people you invite into your organisation. Keep your sign-in details to yourself, and tell us promptly if you think someone else has gained access.

You must give accurate registration details and keep your email address current. Some parts of the service — including account recovery — depend on us being able to reach you.

You must be at least 18 and entitled to enter into this agreement on behalf of your organisation.

Plans, payment and renewal

ParrotIt has a free tier and paid tiers (currently Plus and Team), available as monthly or annual subscriptions in pounds or US dollars. Current prices are shown on the pricing page before you buy.

Payments are handled by Stripe. We do not receive or store your card details. Subscriptions renew automatically at the end of each billing period at the then-current price for your plan, until cancelled.

If we change the price of your plan, we will give you at least 30 days’ notice before it applies to you, and the change takes effect at your next renewal. If you do not accept it, you may cancel before that renewal.

Prices are exclusive of VAT and other taxes unless stated otherwise. Where tax applies, it is added at checkout.

Some invitations include a free trial. Your card is taken when the trial starts, nothing is charged during it, and the first payment is taken automatically when it ends unless you cancel before then. The trial length and the date of the first charge are shown at checkout.

If a payment fails, we may retry it and may suspend paid features until payment succeeds. We will not delete your data because of a failed payment without telling you first.

Cancellation and refunds

You can cancel at any time from the billing settings in your account. Cancellation takes effect at the end of your current billing period, and you keep access until then.

Cancelling does not refund the rest of a period you have already paid for. If you want to keep the option of leaving early, choose monthly billing.

Where these terms say we will refund the unused part of your period, because we withdrew a feature you rely on, changed these terms materially, or ended your account without you being at fault, the refund is pro rata from that date and goes to the original payment method. We may decline a refund where we reasonably believe the account has been used in breach of these terms.

Downgrading to the free tier may make some features and stored data unavailable. Export anything you need before you downgrade or cancel.

Acceptable use

You decide what your forms ask for, and you are responsible for that decision. Only collect information you actually need and are lawfully entitled to collect.

You must not use ParrotIt to:

  • collect information unlawfully, deceptively, or in a way that misrepresents who you are or what the information is for
  • impersonate another organisation, or imply an endorsement or affiliation you do not have
  • send unsolicited marketing, or use contact details gathered through a form for a purpose the person was not told about
  • upload malware, attempt to break or overload the service, probe it for vulnerabilities without our written permission, or work around technical limits and access controls
  • scrape, resell or redistribute the service, or use it to build a competing product
  • collect information about children where you have no lawful basis to do so

Your data and your responders’ data

You own the forms you build and the responses you collect. We do not sell them, and we do not use them to advertise to anyone.

Responses are encrypted on the responder’s device before they reach us. In ordinary operation we hold ciphertext we cannot read, and only your organisation holds the keys. That is a deliberate design choice, and it has a consequence you should understand: if your organisation loses its keys and every recovery route, we cannot recover your responses for you. No support request can undo that.

For the personal information inside those responses, your organisation is the data controller and we are your processor: you decide what is collected and why, and we process it on your instructions in order to provide the service. You are responsible for having a lawful basis, for telling people what you are doing with their information, and for answering their data protection requests.

We handle information about your own account — your name, email, billing records and usage — as controller, as described in the Setter Privacy Policy.

ParrotIt is not yet set up for US-regulated health or education records. We do not sign HIPAA Business Associate Agreements or act as a FERPA school official, so do not use ParrotIt to collect protected health information or student education records governed by those laws.

You can set retention rules so responses are deleted automatically, and you can delete data yourself at any time. Where a responder asks us to delete a submission, we will pass that request to you and act as described in the privacy policies.

We may use aggregated, anonymised statistics about how the service is used to operate and improve it. These never identify you, your organisation, or any responder.

Availability and support

We work to keep ParrotIt available and will give reasonable notice of planned maintenance where we can, but we do not promise uninterrupted or error-free service and we do not offer a guaranteed uptime level.

Features may change, and some may be withdrawn. Where a change would materially reduce functionality you rely on, we will give you reasonable notice and, if you are on a paid plan and do not accept it, you may cancel and receive a pro-rata refund as set out above.

Support is provided by email on a reasonable-endeavours basis. We do not commit to a response time unless we have agreed one with you separately in writing.

The service depends on third parties, including our hosting and payment providers. We are not responsible for failures caused by their services, but we will make reasonable efforts to restore service.

Signing, certifying and record-keeping

ParrotIt lets you mark a submission as signed, and lets both parties certify a record so that it is locked. These features record what each party did and when, and protect the record from later alteration.

They are a record-keeping tool, not legal advice. Whether a certified record satisfies a particular legal or regulatory requirement is a question for you and your advisers. We do not warrant that any record will be accepted by any court, regulator or third party.

ParrotIt Keys

A ParrotIt Key is a card a person carries from visit to visit. If it has a tag, answers given with it are also locked to that tag, and a tap of the Key at one of your kiosks, with its PIN if it has one, brings that person’s earlier answers to your forms back so they do not have to give them again.

Whoever is at the kiosk can see what a tap brings back. Each form has a "Bring back past answers" setting, on unless you turn it off. Turn it off for any form whose answers your kiosk staff should not see, and give the "Use PKs" permission only to people who may see them.

If a tag is lost, replace it on the Keys page. The old tag stops working, the next blank tag is set up at the person’s next visit, and the Key keeps its PIN.

ParrotIt Runner and other software you install

ParrotIt Runner is a desktop application you download and install on a machine your organisation controls. It is part of the service, and everything in these terms applies to it, including the limits on liability below.

We grant you a personal, non-exclusive, non-transferable, revocable licence to install and use the Runner on machines your organisation controls, for as long as your account is open, solely to use it with ParrotIt. You may not sell, rent, sublicence or redistribute it, and you may not reverse-engineer, decompile or modify it except where the law says you may. We keep all rights in the software that are not expressly given to you here.

The Runner checks for updates and installs them automatically. That is how security fixes reach you, and by installing it you agree to it. We may stop supporting older versions, and a version we no longer support may stop working with the service.

You choose what the Runner does with a submission. It decrypts the submission on your machine and hands it to a command you have configured, which then runs on your machine with the permissions of the account you run it under. We do not inspect, select, orchestrate or repair those commands. Everything they do — including sending information onwards to other software or other people — is your responsibility, and you must have a lawful basis for it and tell responders about it where required.

Pairing a Runner places a copy of your organisation’s decryption key on that machine. Keeping the machine secure is your responsibility, and so is revoking the pairing if you lose it, sell it, or stop using it. Anyone with the machine may be able to read submissions delivered to it.

The Runner is provided as it is. So far as the law allows, we do not warrant that it will run on any particular machine, that it will be free of faults, or that it will work with any software you point it at. Nothing in this section removes statutory rights you have that cannot be excluded.

The Runner includes open-source components licensed by their own authors. Their licences and notices are included with the application and prevail over this section for those components alone.

The licence ends when your account ends or if we withdraw it for a breach of these terms. When it ends, stop using the Runner, revoke its pairing, and remove it from your machines.

Limitation of liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited.

Subject to that, we are not liable for loss of profit, loss of business, loss of goodwill, or any indirect or consequential loss, however it arises.

Subject to the first paragraph of this section, our total liability to you arising out of or in connection with this agreement in any 12-month period is limited to the greater of the fees you paid us in the 12 months before the claim arose, or £100.

We are not liable for loss of data that results from your organisation losing its encryption keys and recovery routes, because the design that prevents us from reading your responses also prevents us from restoring them. Keep your recovery method safe.

You are responsible for keeping your own copies of anything you cannot afford to lose. Export tools are provided for that purpose.

Ending your agreement with us

You may stop using ParrotIt and close your account at any time.

We may suspend or end your account if you materially breach these terms, if we are required to by law, or if your use puts the service or other customers at risk. Where it is reasonable to do so, we will warn you first and give you a chance to put things right.

If we end your account without you being at fault, we will refund the unused portion of any period you have paid for.

After your account closes, we keep and then delete your data as described in the Setter Privacy Policy. Export what you need before closing, and be aware that closure may make certification records unavailable to the people who relied on them.

Changes to these terms

We may update these terms as the service develops or the law changes. The date at the top of this page shows when it was last revised.

For changes that materially affect your rights or obligations, we will give you at least 30 days’ notice by email or in the app before they take effect. Continuing to use ParrotIt after that means you accept the updated terms; if you do not, you may cancel and receive a pro-rata refund for the unused part of your current period.

Governing law

This agreement and any dispute arising out of it are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

If any part of these terms is found to be unenforceable, the rest continues to apply. A delay in enforcing a right is not a waiver of it. This agreement is between you and us, and no one else can enforce it.

You may not transfer your rights under this agreement without our written consent. We may transfer ours if the ParrotIt business is transferred, provided your rights are not reduced.
